CAREER FAIR AGENDA

  • 11:00 am-12:45 pm: Employers arrive
    • Drop off your materials at the Avenue of Champions entrance to the Bill Gatton Student Center Ballroom before you park. 
    • Volunteers will be ready to receive your materials and they will be waiting at your table when you arrive back from the parking lot.
  • 11:00 am -12:45 pm: Employer Check-in/Hospitality
    • Please stop at the Employer check-in table before heading inside to the ballroom.
    • Employer Hospitality Room available next to Employer Check-in table with water/coffee/soda. 
  • 11:00 am – 4:30 pm: Lunch
    • Each paid representative will receive a meal ticket for the Gatton Student Center Champions Kitchen
    • Takeout containers are available at the Employer Check-in table. 
  • 12:50 pm: Welcome
    • Video presentation by UK Administration and additional information 
  • 1:00 pm: Career Fair begins
    • Students will check-in at Worsham Theatre to receive their nametag and "I'm exploring sticker" if needed. 
    • Students will be asked to write their name, major and graduation year on their nametag. 
  • 4:55 pm: Employer Raffle 
    • Representatives must be present to win.  
  • 5:00 pm: Career Fair end
    • Employers can drop off materials for shipping (Fed Ex, UPS) in the “northwest” corner of the ballroom. You will find a sign located in the corner. 

Arriving at the Career Fair

Drop off Materials

Before you park, please follow Employer Drop off signage to the Gatton Student Center circular driveway. This driveway is located off the Avenue of Champions entrance to the Gatton Student Center.

Volunteers will be available to assist you with your materials. They will help to get your items to your Career Fair table while you check-in at the Employer Check-in table. 

Parking Instructions

  • Registration includes (1) parking space per employer at the Gatton Student Center parking lot at 160 Avenue of Champions.
    • The Gatton Student Center parking attendant will allow one car per registered employer into the lot. 
  • We ask that you try to limit yourselves to coming to campus in one car.
    • If your representatives will be using multiple vehicles, then you will have to park (for a fee) in the Cornerstone Garage, at 409 South Limestone, Lexington, KY 40506.
      • The parking garage is used by employees and visitors, and one section is reserved for Residents, so plan plenty of time to find a spot and be vigilant not to park in the resident section (which is marked by a sign as you enter that area saying that an R permit is required).

Payments

Credit card payments are usually processed before you receive your registration confirmation via email. Please call (859) 257-2001 if you need your payment processed over the phone. Check payments should be remitted before the event.

Company checks will be processed within 5-10 business days.

NOTE: Your registration is complete when your invoice has been paid in full.

Shipping Information

Advance Shipping

If you ship your materials in advance, they must arrive between February 11 and February 27. 2024. Your shipment will be held in a secure cage before the fair.

Please label the boxes clearly as Please label the outside of your box with your company name and ‘BUSINESS & ALL MAJORS’ on the box(es) because there is an Engineering Career Fair the day before. If you are attending both fairs, please label ‘ENGINEERING AND BUSINESS’ on the outside of the box(es) so we can ensure the shipments are brought up from the cage on the correct day. 

Return Shipping

In the top right corner of the Grand Ballrooms in the Gatton Student Center will be a drop areas for UPS (Ground and Air) and Fed Ex.

  • Must have pre-printed labels with your account number or payment information and addresses beforehand and bring these with you.
  • The Employer registration table will have some shipping tape on hand if needed. 
  • Gatton Student Center facilities will handle all return shipping.

Fair Setup

Standard Table Setup

  • Standard registration includes:
    • (1) 6-foot table and up to 3 chairs.
      • You will have a total of about 8 feet of width.
    • (1) black tablecloth will be provided
    • Access to Electricity
    • Whiteboard for your show what you are looking to recruit
      • Use instructions to help you know what to write
    • Table tent with your employer name
      • Reverse side: "Stepped away from my table, will return shortly" 
    • Handshake Booth Student Check-in QR Code 

What to bring with you: 

  • Employer branded tablecloth 
  • Extension Cords
  • Giveaways items (Based on previous career fairs, student attendance has been ~1000)
  • Return shipping label (if shipping items after the fair)

Whiteboard Instructions

Each table will be provided a whiteboard board and whiteboard markers. 

We ask that you write down what you are looking to recruit.

Include: 

  1. Type of Role: 
    • Internship
    • Co-op
    • Job
    • Fellowship
    • Volunteer

2. OPT/CPT option: International students will be looking for this specifically on your board.  

3. Specific locations of where the opportunity will occur. 

Do not include: Specific majors unless you are on only looking for majors that have licensing restrictions. 

Table QR Codes

Your whiteboard will have a Handshake QR Code glued to it. We are asking that you have students' checkin with the QR code during the fair. This benefits UK Career Services help us track student traffic and well as providing you and students with the check-in data.  

Employers' booth’s check-in data is accessible and we encourage you to use it. Employers will get an email summarizing their check-ins and encouraged to follow up with the students they met with. 

Students will also get an email summarizing their check-ins, plus they’ll be able to review their check-ins in Handshake.

Employer Hospitality

Hospitality Room

  • Employer Hospitality Room will be located next to the Employer Check-in Table. 
  • Water, Coffee, and Soda will be available 
  • (2) individual bathrooms

 

Lunch at Champion's Kitchen

Each company representative will receive a meal ticket for lunch in Champion's Kitchen. It is a full-service dining space in the Gatton Student Center.

Stations include:

  • Allergen-free zone for any special dietary needs
  • Salad bar
  • Comfort foods section
  • Daily selection of specialty foods (everything from Indian cuisine, Greek cuisine, etc.),
  • Pizza station
  • Desserts

We HIGHLY recommend eating before noon or after 1:00 PM to avoid the student rush between classes.
 

OTHER FOOD/BEVERAGE OPTIONS

There are other options for food and beverages - meal ticket do not cover items at these locations.

Employer representatives may purchase food and drinks at any of the following locations in the UK Gatton Student Center.

Inclement Weather

In the event of severe weather, the career fair will go on, unless the University closes the Lexington campus. Should inclement weather prevent the fair from occurring on the scheduled date, UK Career Services will attempt to reschedule the fair for Wednesday, March 6. University Career Services will reach out to registered employer representatives to communicate any news related to event delays or cancellations.

  • Employers are also encouraged to monitor the UK website home page for any bulletins related to campus closures or delays.
